People Operations Coordinator

Location/Status: This role is full-time and fully remote, but monthly in-office meetings are required, so you must be able to commute to Exeter, NH, once a month. (Relocation/travel stipends not available.)

POSITION OVERVIEW

The People Operations Coordinator is a key support role responsible for coordinating and executing human resources, staff engagement, and leadership operations. This position is well-suited for a motivated, people-oriented professional who enjoys balancing multiple priorities while maintaining organization, responsiveness, and follow-through.

In this role, you will work with and support the leadership to ensure HR processes run smoothly while also playing an active role in attracting and engaging talent. The ideal candidate is proactive, collaborative, and confident in communication who can build relationships, support recruiting efforts, and contribute to a positive and productive team environment.

KEY RESPONSIBILITIES

Human Resources Operations

  • Support pre-employment processes including reference checks, fingerprint tracking, and certification verification with timeliness and consistency.

  • Maintain organized employee records, contracts, licensure, and personnel files.

  • Follow established processes to support compliance with state and federal employment laws.

  • Coordinate onboarding and offboarding activities to ensure a smooth and welcoming employee experience.

  • Support with tracking leave requests, absences, and time-off approvals with general accuracy and consistency.

  • Identify opportunities for process improvements and share recommendations with leadership.

Recruitment & Staffing

  • Take the lead in recruiting paraprofessionals (up to 40 annually) and possibly up to 15 other professional-level staff roles. Experience sourcing, screening, and engaging candidates across multiple platforms is a PLUS as this will be a major part of how this Coordinator engages with the public.  

  • Experience with Employer Branding, LinkedIn marketing, and social media marketing a PLUS.

  • Connect with candidates in a professional and engaging way to promote interest and alignment with the organization.

  • Coordinate WBES email setup and onboarding logistics for new hires.

  • Monitor staffing needs and proactively communicate updates, gaps, or concerns to leadership. Strong sense of decisiveness and initiative are critical.

Staff Support & Engagement

  • Serve as an approachable and responsive point of contact for paraprofessionals and behavior assistants before, during, and after hire.

  • Conduct onboarding check-ins and provide ongoing support to promote engagement and connection.

  • Coordinate mid-year conversations and end-of-year evaluations for about 45 paraprofessionals.

  • Support recognition initiatives such as birthdays and anniversaries.

  • Assist with day-to-day staff needs, including scheduling coordination / support.

  • Escalate personnel concerns to leadership with clear and objective documentation.

Executive Support & Organizational Coordination

  • Provide administrative support to the Leadership Team, including calendar coordination and meeting preparation.

  • Support organizational initiatives and special projects with strong organization and follow-through.

  • Assist in coordinating events, outings, and engagement activities. 

Employee Relations & Oversight

  • Support employee relations efforts by documenting performance concerns and assisting with follow-up actions.

  • Help ensure HR processes are applied consistently and align with organizational expectations.

  • Approach personnel matters with professionalism, discretion, and sound judgment.

Reporting, Documentation & Strategic Support

  • Maintain organized documentation across HR activities and communications.

  • Provide leadership with timely updates and insights to support planning and decision-making (especially regarding headcount/hiring/manpower planning).

  • Contribute to a positive, collaborative, and well-functioning work environment.

QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent experience).

  • 2+ years of experience in HR, recruiting, people operations, or administrative support. Experience in the education field is a plus.

  • Working knowledge of HR compliance, employment practices, and performance management processes.

  • Ability to manage multiple responsibilities, stay organized, and adapt to changing priorities.

  • Strong communication skills with a professional, engaging, and approachable style.

  • Comfortable building relationships and interacting with candidates and staff.

  • Able to maintain organization and follow-through in a fast-paced environment.

  • Ability to balance independent work with collaboration and teamwork.

  • Experience supporting recruitment, staffing, or employee engagement preferred.

  • Familiarity with educational or behavioral service environments is a plus.

  • Proficiency in Microsoft Office, Google Workspace, and HR systems.

  • Ability to handle sensitive information with discretion and sound judgment
